TalentBridge placed contractors across IT and healthcare staffing in the US mid-Atlantic region. Their recruiters were spending enormous amounts of time on coordination work that had nothing to do with finding great candidates: sending status update emails, chasing candidates for document submissions, scheduling and rescheduling interviews, and updating the ATS after every touchpoint.
The ATS worked well as a record system. What it didn't have was any intelligence or automation layer. Every email, every calendar invite, every status change — manual. With a team of six recruiters managing over 400 active candidates at any time, the coordination overhead was consuming 40% of recruiter capacity.
Rather than replacing their ATS, we built an AI agent layer that sits on top of it. The system connects to their ATS via API, monitors pipeline state changes, and automatically triggers the right communication and action for each state transition.
When a candidate moves to phone screen, the system sends a personalized scheduling link and follows up twice if there's no response. When documents are needed, the system sends a request with a deadline and reminder sequence. When an interview is confirmed, it sends prep materials. When a placement decision is made, it handles the notification and next-steps communication — in both directions, to client and candidate.
Each message is generated by an LLM with the candidate's name, role, and context pulled from the ATS — not generic templates. Recruiters review a daily summary and can override any automated message before it sends. The override rate within 30 days dropped to under 8%.
80% of candidate and client communications now handled automatically. Recruiter capacity redirected to relationship-building and new business development. Time-to-fill improved by 18% in the first quarter post-launch due to faster candidate communication response times. The client considers this one of the highest-leverage investments they've made in their technology stack.
